Privacy notice

This notice is a working draft for the AI CFO pilot. It should be reviewed by a qualified Nigerian data protection professional before AI CFO opens to the public.

Who we are

AI CFO is a product of J.E.G Technologies, a division of Emedom Industries Limited, Port Harcourt, Rivers State, Nigeria. We decide how your information is used, so we are the data controller under the Nigeria Data Protection Act 2023 (NDPA).

What we collect

• Your WhatsApp number and the name WhatsApp shows for you.
• The messages you send to AI CFO, and our replies.
• The business records made from those messages: amounts, dates, categories and details.
• Your business name, if you add it.
• Basic technical records when you use the dashboard, such as login times.

Why we use it

• To keep your business records and answer your questions about them.
• To show your dashboard and create the statements you ask for.
• To keep the service secure, including sending you login codes.
• To fix problems and improve AI CFO, using records with personal details removed where possible.

We use your information because you asked us to provide this service (a contract with you), and with your consent where the NDPA requires it. You can withdraw consent at any time.

Who we share it with

We do not sell your information. We use a few service providers to run AI CFO, and they may only use your information to provide their service to us:

• Meta (WhatsApp), which carries the messages between you and AI CFO.
• Our AI providers, which read your messages to understand what to record: ChatATP Studio, which hosts the AI CFO agent, and Anthropic (Claude) as a backup. We send them your messages but not your phone number. Your information may be processed outside Nigeria for this, with the safeguards the NDPA requires.
• Our hosting provider, which stores the database.

We only share your statements with a bank, lender or anyone else if you download them and send them yourself, or if the law requires us to.

How long we keep it

We keep your records while you use AI CFO, so your history and statements stay complete. If you ask us to delete your account, we delete your records within 30 days, unless the law requires us to keep something longer.

Your rights

Under the NDPA you can ask to see your information, correct it, delete it, receive a copy, or object to how we use it. You can also complain to the Nigeria Data Protection Commission (NDPC).

Keeping it safe

Dashboard logins use one-time codes sent to your WhatsApp. Data is sent over encrypted connections, and only authorised J.E.G Technologies staff can reach the database. No system is perfectly secure; if a breach affects you, we will tell you and the NDPC as the law requires.

Important limits

AI CFO helps you keep records and understand your figures. It is not a licensed accountant, tax adviser or investment adviser. Statements are made from the records you send and are not audited.
